How do I create a list-based signature (bulk signature) with Secure Exchanges in Outlook Web?

Secure Exchanges allows you to send the same document to be signed by several people in a single operation thanks to list signing (also called bulk signing or group signing).

This feature uses a CSV file containing the signatories' information. Each recipient will receive their own individual document to sign. This is not a group signature on a single file.

Step 1 – Prepare the CSV file

The CSV file contains the list of signatories. Each line represents one person. Your file must contain three columns, in this exact order:

1. Email
  1. Email address of the signatory.
2. Phone
  1. Signatory's telephone number. *Must include the country code, preceded by the + sign (e.g., +1 for Canada, +33 for France).
  2. This column can be left blank if you do not wish to protect the signature link with an SMS code.
  3. However, the column must be present in the file.
3. CallBackParameter
  1. Optional field allowing instructions to be sent to SESAR.
  2. If you do not use this feature, the column can be left empty.
  3. However, it must be present in the file.

Step 2 – Attach the document via the Secure Exchanges panel

  1. In Outlook Web, create a new message.
  2. In the Secure Exchanges panel on the right, drag and drop your PDF file into the designated area, or click "Select your files" to browse for it.

  3. Once the file is uploaded, it will appear in the panel. Click on "Get a signature" under the file name.
      

Step 3 – Enable batch signing

  1. The "Batch Signature" option appears in the panel with the "Upload CSV file" button.
  2. Click on "Upload a CSV file".
  3. A confirmation window will appear informing you that this action will delete the currently defined recipients and replace them with those from the CSV file. Click "YES" to confirm and select the CSV file prepared in step 1.
      

Notes
⚠️ Make sure your CSV file is closed before uploading to avoid any errors.

Step 4 – Verify the signatories

Once the file is uploaded, the "To" field is automatically replaced with csv@secure-exchanges.com . This is normal: this email address is only used to trigger the list signing process.

Click on "View my signatories" to display the list of signatories and verify that the email addresses and information are correct.
  

Step 5 – Define the signature areas and send

  1. Click "Get a signature" again to open the ZeroVu Signature interface.
  2. Position the areas to be filled in by the signatories on the document.
  3. Click on "Apply" in the top left corner.
  4. Click on "Send with Secure Exchanges" .

Secure Exchanges will automatically send the document to each signer contained in the CSV file.
