How can I view my submission history in the portal?

The Secure Exchanges online portal logs allow you to view all activity related to your messages: sending, opening, downloading, signing, IP addresses, and more. You can also delete a message before it expires and export your logs for your archives or internal audits.

Prerequisites

You must be logged in to your Secure Exchanges account. If you do not know how to log in, see Log in to the Secure Exchanges online portal.

Step 1: Access the logs

  1. Log in to the Secure Exchanges online portal.
  2. In the left-hand menu, click "My Account".
  3. Once in your account settings, click the "Statistics and logs" tab.

  4. You will see all your statistics. Scroll to the bottom of the page to filter your logs by date.

Step 2: Search for messages in the logs

  1. Click in the box where the date is displayed and select your dates from the calendar.
  2. Click "Search".

The logs include, in particular:

  • the date and time of sending
  • the recipient or recipients
  • the message status
  • the number of openings
  • the expiration date
  • the IP address linked to each interaction

Understanding the log columns

The list below describes the columns displayed in your logs:

  • R: retrieve a sent message
  • Date: date the secure message was sent
  • Latest activity: last action performed by the recipient (opening, downloading, signing)
  • Expiration date: date on which the message will be automatically deleted
  • Status: indicates whether the message is Open, Not opened, Expired or Deleted
  • Subject: subject of the message sent
  • Sender: your email address associated with the submission
  • Recipient: email address or addresses of the recipients
  • Code: associated security code (password or SMS, if applicable)
  • Files: number of files attached and available for viewing
  • Openings: number of times the message has been opened
  • Activities: displays actions performed (openings, downloads, access)
  • Type: type of sending (message, signature, reply)
  • Delete: allows you to revoke access immediately

Step 3: Manually delete a message

To delete a secure message immediately:

  1. Find the message in the logs.
  2. Click the trash can icon in the Delete column.
  3. This instantly revokes access to the message, even if it has not reached its maximum number of openings or has not yet expired.

Display the details of an IP address

By clicking the IP address of an activity, you can view information such as:

  • country of origin
  • city
  • region
  • internet service provider, based on available data

This feature is useful to:

  • detect unusual behaviour
  • validate the origin of an access
  • ensure compliance and security of communications

Export your logs

You can export your logs using the buttons located on the right side of the page.


Available formats:

  • CSV (.csv): for integration into other tools or systems
  • Excel (.xlsx): ideal for analyzing and filtering data
  • PDF (.pdf): perfect for archiving or reporting
