Retrieve confidential information via a secure envelope from Microsoft Outlook

Secure Exchanges secure envelopes allow you to retrieve confidential information from recipients who do not use Secure Exchanges. This enables your contacts to securely send you sensitive documents without requiring a license.

What are secure envelopes used for?
Secure envelopes are designed to:
  1. collect confidential documents (SSN, identity documents, contracts, forms, etc.);
  2. avoid sending sensitive data via unsecured email;
  3. guarantee an encrypted, controlled and traceable deposit.
The recipient submits their information via a secure space, without creating an account or installing anything.

Send a secure envelope from Outlook

  1. Open Microsoft Outlook.
  2. Click on "New email".
  3. In the Outlook ribbon, on the "Message" tab, locate the "Secure Exchanges" section.
  4. Choose the language of your correspondence.
  5. Click on the icon corresponding to the desired envelope type. *You can view the envelope types by expanding the lists below.


    Standard envelope


    Ideal for recovery:

    • confidential documents;
    • contracts;
    • identity documents;
    • various sensitive information
    Credit card envelope

    Designed for the secure collection of credit card numbers.

    Built-in features:

    • automatic validation of the number of digits;
    • checking the expiry date.
    Advanced Envelope (Pro license only)
    This envelope offers a superior level of control and advanced security options. Once the advanced envelope is inserted and at the moment when   You will click on "Send" , several options can be configured:

     


    Prevent text writing

    1. The recipient will not be able to write a message.
    2. Document submission becomes mandatory.


    Define the allowed file types

    1. You can limit the accepted formats (documents, images, videos, etc.).
    2. It is possible to specify precise extensions, separated by commas.
      (e.g.: .pdf, .jpg, .mp4).

    Security via SMS code

    1. The recipient will need to enter an SMS code sent to their phone.
    2. The code is required to access the envelope and deposit the documents.
    Once the configuration is complete, click "Send" . The envelope will then be transmitted with the chosen security settings.

The envelope is inserted at the location of your cursor in the message.

What the recipient sees

Upon receiving the email, the recipient sees a "Submit confidential documents" button. (See the image below for an example)


By clicking this button, he accesses a secure area allowing him to:
  1. drag and drop files;
  2. add documents via the Attach button;
  3. write a private message to accompany the files (if allowed);
  4. send the documents.
Info
The maximum file size the recipient can return depends on your Secure Exchanges license. With our Advanced licenses, it's up to 100 MB, and with our PRO licenses, it's up to 2.5 GB. You'll receive their return envelope directly in your email inbox; the email will, of course, be sent via Secure Exchanges.
