How can I get several people to sign the same document separately?

Create a list-based signature (bulk signature) with Secure Exchanges in Outlook Classic

Secure Exchanges allows you to create a list signature, also known as a bulk or group signature, using a CSV file. This feature lets you automatically send the same document to multiple people for signature, without having to create an individual email for each signatory. Each person will have their own document to sign.

Here's how to proceed:

Step 1 – Prepare the CSV file

The CSV file is used to indicate who should sign the document . Each line of the file represents a signer.

Your CSV file must contain three columns, in this order:

1. Email
  1. Email address of the signatory.
2. Phone
  1. Signatory's telephone number. *Must include the country code, preceded by the + sign (e.g., +1 for Canada, +33 for France).
  2. This column can be left blank if you do not wish to protect the signature link with an SMS code.
  3. However, the column must be present in the file.
3. CallBackParameter
  1. Optional field allowing instructions to be sent to SESAR.
  2. If you do not use this feature, the column can be left empty.
  3. However, it must be present in the file.

You can use the file attached at the bottom of the article as a template.

Step 2 – Create the message and activate the list signature

  1. In Outlook, create a new message.
  2. Using the "Signature" button in the Secure Exchanges ribbon, upload the PDF document to be signed.

  3. Once the document has been added, select the "Signature by list" option.
You will then notice that the To field is automatically replaced with: csv@secure-exchanges.com. This is normal: this email address is only used to trigger the list signing process.
  1. You can now write your message as usual, then click "Send".

Step 3 – Upload the CSV file

  1. After clicking "Send", the Secure Exchanges window opens.
  2. A new "Upload a CSV file" option is now available.
  3. Click on this button and upload the CSV file prepared in step 1.

Warning
Make sure the Excel file is closed before inserting it, to avoid any errors during upload.

Step 4 – Verify the signatories

Once the file is uploaded, a "View my signatories" button appears just below the "Upload a CSV file" button.

Click this button to:

  • Display the list of signatories
  • Please verify that the email addresses and information are correct.

Step 5 – Define the signature areas and send

Click on " Define signature areas" , then define the area(s) that will need to be filled in by the signatories.

Once finished:

  1. Click on "Apply" *In the upper left corner of the signature area definition window

  2. Click on "Send with Secure Exchanges"

Secure Exchanges will automatically send the document to each signer listed in the CSV file.
