Send a secure message with Outlook Web

Once Secure Exchanges is installed and your license is activated in Outlook Web, you can send secure emails by following the steps below.

Access Secure Exchanges

  1. Open Outlook Web and click “New message” to start composing your email.
  2. Then open the Secure Exchanges application.

If the Secure Exchanges window is not already pinned, you can pin it to keep the security options visible throughout the message preparation.

Compose the message and add attachments

  1. Compose your message as usual.
    1. To attach files, use the attachment icon within the Secure Exchanges window. Files added this way can be protected according to the selected security settings.

  1. Once the message is ready, click “Send.” The Secure Exchanges configuration window will open automatically.

Select what to secure


In the Secure Exchanges window, choose what you want to protect:

  • Full message
    Secures both the email body and the attachments. Recommended when the message content contains sensitive information (passwords, social insurance numbers, banking data, etc.).

  • Pièces jointes seulement
    Secures only the attached files. The email body remains readable.

It is recommended to use attachments-only protection when the message body does not contain any confidential information. This provides more context to the recipient while keeping the files secure.


Configure additional settings

You can define additional settings to control access to the message:

  • the number of authorized views;

  • the message validity period (in hours or days), up to a maximum of 30 days;

  • the display language of the message for the recipient.


Add extra security (optional)

To further strengthen message protection, you can enable an additional security measure:

  • Password: the recipient must enter the password to access the message. 
    When selecting the “Password” option, you must define a password in the designated field. The password must be shared with the recipient through a method other than email (e.g., phone call, SMS, instant messaging, or in person). This prevents a third party with access to the recipient’s mailbox from also accessing the secured content.

  • SMS code: a one-time code will be sent to the recipient by SMS to open the message.
    When selecting “Automatically generated SMS code”, you must enter the recipient’s mobile phone number. The SMS code will be automatically sent to the recipient’s mobile device when they attempt to open the message.


Send the secure message

Once all settings are configured, click “Send with Secure Exchanges” to complete the secure delivery. The recipient will receive a link allowing them to access the message based on the configured rules.
