What options are available on the Secure Exchanges pop-up window on Outlook?
When Secure Exchanges is enabled on Outlook and once you click on the send button for a new email; the following window will appear on your screen:
This window allows you to define your security options before sending your email.
1. The entire message: this option allows you to secure all the content of the email (text of the email and attachments if there are any). You can use this option if the text of the email contains sensitive information (password, social security number, bank details, etc.). The recipient of the email will only be able to read the text of the email after clicking on the link he received.
2. Only Attachments: this option allows you to secure only the attachments contained in your email. At that time, the recipient will be able to read and access the content of the text of the email at any time but must click on the link he received to view and download the attachments.
3. Password: Your recipient will need to know the password to open the message. You disclosed verbally or through another communication channel (Facebook Messenger, mail, text message, telephone, etc.)
4. Automatically generated SMS code: Your recipient will receive an SMS with a random 6-digit code. This will be required to open the email.
Note that, if your recipient's cell phone number is saved in your Outlook address book, it will automatically be displayed when you check this box.
5. Cellular number: When you check "Automatically generated SMS code" you must enter the cellphone number that will receive the SMS for each recipient. If in your Outlook contact you have already entered the cell phone number, it will be automatically filled in.
6. Number of openings: Maximum number of times the message can be read by your recipient before being completely destroyed
7. Message expiration: Time limit before destroying the message. The first limit between "The number of openings" and "The expiration time" will result in the total destruction of the email
8. Communication options: In which language will the received message be written, and on which version of the portal will your recipient be brought.
9. Send with Secure Exchanges: Protect your email sending with Secure Exchanges technology and selected options
10. Send non-secured: Send the email normally and therefore it will not be encrypted and secure
